Living in a community scheme has many benefits, especially if managed by an innovative and tech savvy Managing Agent such as Whitfields. Among these benefits is the information that is available to all owners in schemes that we manage, both on the Whitfields website and the individual scheme website.
“Your Feedback” matters and there is a button on all our scheme websites, which can be used for any compliments, queries, and complaints that one may have. We value any feedback, which we promise will receive our immediate attention. Residents can use the email address info@whitfields.co.za to raise any general query or use escalations@whitfields.co.za to bring any matter to the attention of the Whitfields Management Team
We encourage our clients to visit and “like” our Whitfields Facebook page, and to follow us on twitter @WhitfieldsGroup. We use social media to provide insights into the property industry and provide links that we hope will educate and assist all community scheme owners. We will also often advise of any area issues with municipal services that we become aware of.
On the Whitfields Home Page (www.whitfields.co.za) there is a tab for “Service Providers.” Please use these Service Providers and provide any feedback so that we can address these directly with the service provider.
Each community scheme has its own scheme website with a list of the service providers in the area where the community scheme is located. The Service Provider Tab takes one to the Service Providers page. Searches can be made by name if known or by the service provider type.
Whitfields makes every effort to vet all those listed and if poor workmanship or service is reported to us, then the service provider or contractor may be removed from the listing after consideration of the complaint.
The scheme website is an access portal for owners to access documents pertinent to the scheme, including AGM notices and meeting minutes, the Audited Financial Statements of the scheme, conduct rules, sectional plans, and many other relevant documents. The information provided is updated to ensure that it is relevant, and informative.
Individualised Owner Access to a scheme website, allows owners in a community scheme to view their levy statement of account and other documents pertinent to an owner. Access is available through your scheme website or the Whitfields website. One uses the same unique log-in details that are provided to all owners when registering on the Whitfields Website ( www.whitfields.co.za), as an owner.
Community Scheme Executives can access a restricted tab area on the scheme website to view relevant documentation such as monthly financial reports, meeting minutes and any relevant documentation provided by the Relationship Manager that is requested to be made available by the scheme executives.
Community Scheme Executives can use the website functionality to advise owners of notices and information pertinent to their community scheme, using a preloaded SMS facility or an email facility. There is also a poll voting service available.
